I once spent an entire Sunday afternoon manually typing 80 crumpled conference receipts into a spreadsheet, only to realize later I had transcribed the tax lines incorrectly on half of them. A month later, I tried uploading them to a standard consumer AI chatbot. It hallucinated the formatting, grouped things wrong, and refused to process more than three files before complaining about file size. The mistake was using a consumer chat interface for bulk data extraction.
The correct tool is Google AI Studio. It is a developer playground, but you do not need to be a developer to use it. You upload your files, give it strict instructions, and it complies.
- Open Google AI Studio: Navigate to aistudio.google.com and sign in with a standard Google account.
- Select the Right Model: On the right sidebar, ensure the model is set to Gemini 1.5 Flash. This model is heavily optimized for fast, multimodal document reading.
- Set the System Instructions: Use the interactive schema sandbox above to generate your strict instructions, then paste them into the "System Instructions" box on the left side of AI Studio.
- Batch Upload: Click the "+" button next to the prompt box. Select up to 50 PDFs or images of your receipts.
- Run the Extraction: In the text box, simply type "Extract all data to CSV." Hit run.
The output will be a raw CSV code block. Copy it, open your spreadsheet software (Excel/Google Sheets), and paste.
